Wedding Planning Meeting
At Whistle BarnsPlanning Your Special Day
Planning your wedding is an exciting journey, though it's common to feel a touch of nerves. Remember, we're here to support you all the way. Our Events Team is committed to guiding you from the moment you secure your booking up until the big day itself.
At your Wedding Planning Meeting, we'll cover everything to ensure your day unfolds just as you imagine. We'll dive deep into every detail to fully understand what is of most importance to you. With these particulars in capable hands, you can savor every moment of your special day.
Roughly three months before your wedding, we'll invite you to join us at Hanbury Barns for your Wedding Planning Meeting. While we'd love to meet in person, we understand that circumstances may sometimes make this difficult. In such cases, we're also more than happy to arrange a virtual meeting via Zoom.
The Wedding Party
We'll confirm the number of guests attending both the daytime and evening and identify your chosen key players. These are the individuals you can rely on for assistance during special moments on your wedding day.
For example, it's helpful for us to know who will be with you in the morning in The Dressing Room. Or any person who might be willing to make announcements on the day.
This information allows us to visualise how your day will unfold. We can then create a detailed plan to share with you. This plan is also valuable to share with your suppliers, ensuring everyone is aligned with the schedule. Of course, we understand that circumstances may change. Rest assured, we're fully prepared to accommodate any last-minute adjustments.
Your Timings
During your meeting, we'll work out the exact schedule and timings for the day. Keep in mind that much of this will be contingent on your selected ceremony time. It's worth considering the timings of other aspects of your special day such as:
- Live music
- Guest entertainment
- Speeches
- First dance
- Cake cutting
Your Chosen Suppliers
Getting your suppliers booked early on ensures a seamless process, as their calendars tend to fill up fast! We kindly request that you bring their contact details to the meeting. Having this information readily accessible is beneficial in case we need to reach out to them before the big day.
Suppliers may include:
- Venue Stylists
- Florists
- Musicians
- Photographers
- DJs

Personal Touches
We're excited to hear all of your creative plans. Starting the discussion early helps us ensure it fits seamlessly into the schedule. With the natural beauty of our stunning barns, even modest personal touches can make a significant difference.
For more elaborate decorations, you may need a Venue Dresser. Keep in mind that your devoted Event Manager will have limited time on the morning of your wedding to decorate the whole venue with all of your items.
Wedding Music
Your choice of music holds significant meaning and reflects your personalities. Your Event Manager will go over and confirm these selections with you during your meeting.
Typically, couples choose a handful of songs to kick off and conclude the ceremony. They may also opt for background music for guest arrival, which can be played through the venue's speaker system. Sharing your music through a collaborative Spotify playlist is the most convenient method for us.
Keep in mind, you also have the option to infuse live music into your ceremony. Whether it's a harpist or a soothing acoustic performance, it can add an extra layer of romance to your special moment.
