From the moment you first visit Whistle Barns to the final moments of your wedding day, our Event Managers will be by your side, offering guidance, support, and ensuring your day is everything you’ve ever dreamed of.

Plan Your Dream Day

Throughout your wedding planning journey, we’re here to be as involved as you’d like us to be.  Some couples enjoy taking the reins and sharing their plans with us at the Planning Meeting, while others love having their own dedicated team of wedding specialists to brainstorm ideas with along the way. However you choose to plan, we want you to feel completely supported and reassured that we’re always here to help. It’s an absolute privilege to be part of your special day, and our goal is to ensure it unfolds exactly as you’ve envisioned.

Your Planning Meeting

Approximately three months before your wedding, you’ll be invited to Whistle Barns for your Planning Meeting with your dedicated Events Manager - the person who will be overseeing your special day.

This is a fantastic opportunity to discuss your plans in detail, ensuring your Events Manager fully understands your vision and how you’d like your day to unfold.

At your Planning Meeting, your Events Manager will gather details about your chosen suppliers like your florist and photographer. Together, you'll map out the timeline and running order of your special day to ensure everything flows seamlessly.

We’ll also confirm your 9am drop-off slot for the day before your wedding. This includes any personal touches such as decorations, place cards, favors, and any drinks you’re providing - so everything is ready for your big day.

Online Wedding Planner

Your Events Manager will compile all of this information into the ‘My Wedding Day’ page within your personal area on our website, where you’ll be invited to review the details. Seeing all your hard work come together in one cohesive plan is such a rewarding moment!

This resource will serve as a key reference for your Events Manager on your wedding day, so it’s important to keep it up to date. If there are any changes or updates, just let us know before the big day to ensure everything runs smoothly.



  • Transfer ceremony decorations to The Wedding Breakfast Room and light any candles.
  • Keep a close eye on timings, coordinating with key wedding players to ensure guests are seated on time for the Wedding Breakfast.
  • Orchestrate your grand entrance into The Wedding Breakfast Room, ensuring a lively and enthusiastic welcome from your guests.
  • Safely place gifts and cards into the secure client store.
  • Prepare the microphone in time for speeches.
  • Assist the catering team with any necessary adjustments to tables and chairs after the Wedding Breakfast, such as adding extra seating for evening guests.
  • Gather guests for your cake cut and encourage you onto the dance floor for your First Dance.
  • Remain on hand throughout the evening to assist with any requests and be there to wish you a heartfelt farewell at the end of the night.

Venue Dressing Guidelines

On Your Wedding Day

Your Events Manager will be onsite throughout your entire wedding day, working behind the scenes to ensure everything runs seamlessly.

You can trust us to take care of the venue setup, including:

  • Arranging ceremony and wedding breakfast seating to match your chosen layout.
  • Setting out table decorations such as place cards, favors, and simple centrepieces.
  • Welcoming you upon arrival and ensuring you’re comfortable in The Dressing Rooms.
  • Assisting your florist and cake supplier with their setup needs.
  • Greeting and guiding your guests as they arrive.
  • Pinning buttonholes - we’ve had plenty of practice!
  • Coordinating with your Registrar to ensure the ceremony flows smoothly with the correct music.
  • Aligning key timings with your photographer.
  • Monitoring and adjusting the venue temperature for everyone’s comfort.
